Our Cleaning Process — Inspect, Clean, Verify

How Golden Star's office cleaning programs work from first contact to ongoing delivery — a structured four-stage process that starts with a documented site inspection, builds a specific scope of work for your office, delivers that scope consistently at every visit, and verifies quality through regular review. WorkSafe Victoria compliant. $20M insured. Police-checked staff.

The Golden Star Process

How Our Office Cleaning Process Works

Golden Star's office cleaning process follows four stages: a free site inspection that establishes the scope and identifies site-specific requirements; an onboarding phase where staff are vetted, inducted, and the scope is documented; ongoing daily delivery of the confirmed scope at each visit; and service verification through regular quality review and client communication. A dedicated contact is assigned for all program management throughout the engagement.

2
Onboarding — Staff, Documentation, Induction
Before the first clean, staff assigned to your office are police checked and inducted to the site. A documented scope of work is prepared listing every task at every visit. Access procedures, security requirements, and any site-specific product restrictions are confirmed in writing. The program is ready to deliver exactly as quoted before the first visit commences.
3
Daily Delivery — Consistent, Confirmed Scope
The cleaning team delivers the documented scope at each scheduled visit. Every task in the scope is performed at every visit — no selective cleaning or reduced scope on any day. A service completion record is maintained, confirming the tasks delivered at each visit and noting any issues, skipped areas (e.g. restricted access), or observations requiring follow-up.
4
Verification — Quality Review and Program Management
Quality is maintained through regular service reviews at agreed intervals, a dedicated contact for any issue or query, and proactive program adjustment when occupancy, layout, or requirements change. The cleaning program is not static — it is reviewed and updated to reflect the current reality of your office rather than the configuration that existed when the program started.
Stage 1 — Site Inspection

What Happens at the Site Inspection

The site inspection is the foundation of the entire cleaning program. An accurate, well-structured cleaning program can only be built on a thorough inspection of the actual office — not on a description provided over the phone, not on a floor plan, and not on what was provided to the previous cleaning company. The inspection attends physically to every area of the office and confirms the specific cleaning requirements for each.

During the inspection we confirm: the total floor area and carpet versus hard floor split; every bathroom, its fixtures, and the consumables it requires; the kitchen or breakroom configuration and appliances; all glass partitions, meeting rooms, and reception elements; access and security procedures including key, fob, or code requirements; any areas with restricted access or special entry requirements; any product restrictions (chemical sensitivities, food-safe areas, TGA requirement specifications); and the preferred cleaning window and scheduling requirements.

The written quote produced from the site inspection is the contractual and operational basis for the cleaning program. It is not a marketing document or an estimate. It specifies every task, the frequency of each task, the all-inclusive per-visit price, and the program start date. Nothing is left ambiguous — every task is stated specifically rather than described generally, so that any future question about what is or is not included in the per-visit price can be resolved by reference to the written document rather than by negotiation, interpretation, or the recollection of what was discussed verbally during the inspection visit.

The inspection is free and carries no obligation to proceed. For offices under 200sqm, the inspection typically takes 20 to 30 minutes. For medium offices in the 200–500sqm range, 30 to 45 minutes. For large offices and corporate spaces, 45 to 60 minutes, and a second visit may be scheduled for very complex multi-level configurations. Site inspection bookings are available Monday to Friday across Melbourne metro, with same-day or next-day availability in most cases for standard commercial offices. Evening and Saturday inspection times are available by prior arrangement for offices where weekday business-hours access is constrained by occupancy or security requirements. Call 0484 042 336 or submit a request online to book your site inspection.

Stage 2 — Onboarding

What Happens Before the First Clean

Onboarding is the stage between accepting the quote and delivering the first clean. It is where the operational preparation that makes a reliable, consistent cleaning program possible actually takes place. Onboarding that is skipped or rushed is the most common cause of poor performance in the first weeks of a new cleaning program — staff are unfamiliar with the site, the scope is vague, and the first few visits are effectively an improvised approximation of what was agreed.

During onboarding: the specific staff assigned to your office are confirmed, and their National Police Check status is confirmed before assignment; each staff member is inducted to your site — shown the access procedure, given the scope of work for your specific office, shown any restricted areas, given product instructions for any specialist requirements, and given the contact details for their assigned supervisor; the scope of work is formatted as a task-by-task checklist for the specific office, confirmed against the inspection notes; and the first clean date and time is confirmed in writing with your facilities contact.

For standard Melbourne commercial offices, the onboarding period is typically 3 to 5 business days between quote acceptance and the first clean. Urgent programs where the first clean is needed within 24 to 48 hours of quote acceptance can be accommodated for standard Melbourne office configurations — with the acknowledgement that a compressed onboarding period necessarily limits the depth of site-specific preparation that would be applied to a standard timeline, and any requirements not confirmed in the compressed period are addressed in the first week of delivery.

The onboarding documentation produced — the scope checklist, access procedure record, product specification, and staff induction record — forms the operational foundation of the program and is updated whenever site conditions, staff assignments, or requirements change. It is never archived or discarded at the end of the onboarding phase; it remains the active operational reference for the life of the program and is the document against which any performance query is assessed. New staff assigned to a site are inducted against this document before their first visit, not improvised on site.

Compliance & Standards

How Golden Star Meets Compliance and Quality Standards

The compliance and quality standards applied to every Golden Star cleaning program are listed below. All documentation is available on request.

National Police Check — All Staff
Every cleaning staff member undergoes a National Police Check before their first assignment to any client site. Written confirmation of the police check policy and individual check status is available on request for clients requiring compliance documentation.
$20M Public Liability Insurance
Golden Star holds $20 million public liability insurance. A current Certificate of Currency is provided to all new clients and is available on request at any time during the program. Insurance documentation is provided in the format required by most Melbourne building management requirements.
WorkSafe Victoria Compliance
All cleaning operations are conducted in compliance with WorkSafe Victoria requirements — correct PPE for chemical handling, documented Safe Work Method Statements for any height or hazardous work, chemical safety data sheets maintained for all products in use, and appropriate induction and safety training for all staff before site commencement.
EPA Victoria Compliance
For exterior cleaning operations, all wastewater management complies with EPA Victoria requirements. Only biodegradable cleaning chemicals are used for all exterior applications. Compliance documentation including product SDS and wastewater management approach is available on request for building environmental reporting.
Documented Scope of Work
Every program begins with a written scope of work confirmed with the client before commencement. The scope lists every task included in the per-visit price. Service completion records are maintained for every visit. The scope is a living document — updated whenever the office configuration or requirements change.
Dedicated Contact & Service Reviews
A dedicated contact person is assigned to every Golden Star program — reachable directly for any query, issue, or scheduling change, without having to navigate a general customer service queue. Regular service reviews are conducted at agreed intervals — typically every 3 to 6 months for standard programs, and more frequently for new programs in the first 90 days — to assess quality against scope and identify any program adjustments required as the office and its occupancy needs evolve over time.
Process FAQ

How Our Process Works — Questions Answered

Common questions from Melbourne office managers about how Golden Star's cleaning process works from inspection to ongoing delivery. For a site inspection booking, call 0484 042 336.

Golden Star's process follows four stages: free site inspection (scope confirmation and written quote); onboarding (staff police checks, site induction, documented scope); daily delivery (confirmed scope at every visit, service completion records); and quality verification (regular service reviews, dedicated contact, program adjustments when requirements change). The process is documented before the first clean so the cleaning program is built on a confirmed foundation from day one.
The site inspection covers the full office — all rooms, bathrooms, kitchen, floor surfaces, glass and partitions, access and security requirements, and any specialist areas. It confirms the complete scope of work, identifies site-specific requirements, and provides the basis for a firm all-inclusive written quote within 24 hours. Most Melbourne office inspections take 20 to 40 minutes. Inspections are free with no obligation to proceed.
Quality is maintained through three mechanisms: a documented scope of work so nothing is missed by omission; a dedicated contact reachable directly for any issue; and scheduled service reviews at agreed intervals where the program is assessed and adjusted. Programs are also reviewed when occupancy, layout, or requirements change — the scope reflects the current office, not the one that existed when the program started.
Yes. All cleaning staff undergo a National Police Check before their first assignment. The company holds $20 million public liability insurance. Written confirmation of the police check policy and a Certificate of Currency for the insurance are provided to all new clients and available on request throughout the program — in the format required by building management, corporate governance, or security requirements.
